Thursday, April 19, 2007

7:00 p.m.

ATTENDANCE:

Present: Board/representatives- Aram Bayzaee, Chris Mailing, Imelda March, Stacie Marx, Mark Suri, Jim Weaver.

Visitors- Harold Berman, Jim O'Connell, Mike Ferren, George Garner, Jr., Chuck Judy, John Vittallo

GENERAL: Meeting begun by Aram and minutes approved

REPORTS OF OFFICERS:

A. Presidents Report-Aram Bayzaee

*Bike show: NCC brochures handed to public & Aram proudly displayed his bike, garnering much interest, and a few oo's and aa's

*2007 schedule magnets handed out, with bill from Northbrook Park District to follow
*Vests: 150 available for season giveaway; 50 set aside for freebee to each racer sponsors embroidered on back for $300 each; unit cost is $12

*Some Roty checks from 2006 still on hand

*Lenny Cabaltera, VP of marketing (?) for Hayes Brakes(???) willing to donate equipment/premiums for raffle looking for racing night in return board needs to decide value of premiums, then to justify the quid pro quo

B. V.P. of Rider Development-Chris Mailing

*Steve Thordarsen youth program running; is good with kids; numbers are low due to conflicts with soccer, school activities; it may be best to host in June for 2008 season

*Bike repairs by Jim O'Connell; $5 collected by district is profit; genesis of program was explained with Chris as "spectator"; The Northbrook Bicycle Club has the opportunity to work something out with the Park District but Garner Cyclery does not expect any money for expenses to maintain the NBC's bikes.

*Monday night training permit is filed; Tuesday training permit application is in process

*Handed out final Category 4 Upgrade form and training program flyer
*Provided nice update on League of American Bicyclists meeting in Washington

C. Race Director- Manfred Ray unable to attend due to family crisis

D. Government Relations Director's Report-Mark Harris

*Stacie: "No track repairs will interfere with racing", unless work on drainage later on gets complicated

E. Treasurer Director's Report-Mark Suri
*$13,000 in the bank

*Confirmed receipt of district invoice for night of racing

*based on entry fees, net of costs, we are a "break even" organization sponsorship makes the difference for us; capital and expense account

*Section 501(c) documents were filed
*USA Cycling annual membership renewal completed
*Suggested that general donations be solicited on website, etc., and made easy for a relatively effortless way to raise donations

*Aram showed flyer handout that could accomplish this task too

F. Communications Director-Imelda March
*Manfred Ray will receive access to update the website, so he can post race results directly each week.

*Women's Participation Program has Blue Competition Cycles as their sponsor with a total value of $1,300 (includes track frame and accessories).

*Still awaiting stats for website posting of 2006 races

G. Public Relations Director- vacant

H. Sponsorship Director- Steve Goldberg

I. Northbrook Park District/Leisure Services Supervisor-Stacie Marx

*"Squeegees are now available for the track surface

*Bid submitted for DSL service

*Elsa Fisher likely enthusiastic about meeting with boardopening night was suggested

J. Secretary-Jim Weaver

OLD BUSINESS:
*"Pitch Book"; PDF file by Manfred Ray, plus availability of 3 ring binder bike shops and racers bio's will be included and organization of information likely by Manfred Ray, SportsBaseOnline.com utilized as information source

*17 nights of racing for the price of 13 paid in advance was voted on and approved; detail in 3/15/07 minutes. Once paid, this money is non-refundable, even if races are cancelled due to rain.

NEW BUSINESS:
* ROTY/Bib Numbers now combined into one sponsor - Alberto's is sponsoring this. The ROTY sponsorship and bib numbers sponsorship was merged into one sponsorship, previously they were separate sponsors.; Marcus Moore believes the numbers sponsorship best bang for his sponsorship dollars, which he reserved $2,000 for; board to find alternative sponsorship opportunities - Madison jerseys, night of racing, balustrade, etc.

*Photographer may be available for action photos; Imelda March may have a candidate
*NCC Board looking for giveaway items; 150 minimum
*Stacie Marx not available opening night (marrying), but will have a representative there
*Park District will sweep the track on Mondays, Thursdays, and Fridays through the summer, starting with Chris Mailings Monday training
*Public use of track (Imelda) is not published and available when not already in use catch as can; signage is posted at track
*Park District is providing 50 racing night posters
*Access to chalet needed by district to begin remodeling; goods must be removed, May 10 is completion target, May 14 is when NCC requires use of space again.
